Staff and roles

Adding somebody, choosing their role, and what happens when they leave.

Staff are created in the portal, never on a device. See The portal.

Adding somebody

Name, email, role, and a PIN they can change. For clinicians, their council number — MDCN for doctors, NMCN for nurses and midwives. Enter the number alone; the register's name is added by whatever prints it, so a prescription reads (MDCN 54321) and not (MDCN MDCN/54321).

Their first sign-in needs the machine to have synced at least once since they were added. After that they can sign in to that machine offline.

Choosing a role

Start with the standard role closest to the work — see Roles and what each one can do. They are drawn so that nobody holds a permission they would not use.

Remember that a role is only one of three things that decide what somebody can do. The machine matters too. Giving somebody a wider role does not let them do pharmacy work at the reception desk. See Who can see what.

When somebody leaves

Suspend them. Do not delete them, and there is no way to.

Everything they recorded stays theirs. A consultation note signed by a doctor who left last year is still signed by that doctor, because that is who wrote it. A record whose author could be erased would be worth nothing.

A suspended person cannot sign in anywhere, on any machine, from the next sync.

If somebody leaves suddenly and it matters, suspend them and check which machines they had access to. A machine that has not synced will not know they are suspended until it does.

Changing somebody's role

Takes effect at the next sync. If they are signed in, they keep the old permissions until they sign in again.
